Refund & Cancellation Policy

TechGeneses (SMC-Private) Limited("we", "us") sells professional services and software subscriptions rather than physical goods. This policy explains when a payment can be cancelled or refunded, how long it takes, and how to ask.
1. Scope
This policy covers every payment made to us through this website or an invoice we issue: fixed-scope project work, retained or hourly services, and subscriptions to Orbis, our work management product. Where a signed service agreement or statement of work says something different, that agreement takes precedence over this page.
2. Orbis subscriptions
Orbis is billed monthly or annually in advance.
- Cancel any time. You can cancel from Subscription inside your workspace. Cancellation takes effect at the end of the period you have already paid for — you keep full access until then, because you have paid for that time.
- No automatic refund of the current period. We do not pro-rate an unused part of a period you chose to cancel mid-way.
- Annual plans, first 14 days. If you cancel an annual subscription within 14 days of the first payment, we refund it in full.
- Billing errors. If you were charged the wrong amount, charged twice, or charged after cancelling, we refund the difference in full. Tell us and we will correct it — this is our mistake, not a discretionary refund.
- Free plan. No payment, so nothing to refund.
3. Project and consulting work
Project work is quoted and scheduled in advance, and an accepted quote reserves our team's time.
- Before work starts. Cancel more than 5 working days before the agreed start date and any advance payment is refunded in full.
- Within 5 working days of the start date. We retain up to 25% of the advance to cover the booked capacity we can no longer reassign, and refund the balance.
- After work has started. We invoice for work completed and accepted up to the cancellation date, and refund the remainder of anything paid in advance. Where a project is billed by milestone, completed milestones are not refundable.
- Work not delivered. If we fail to deliver an agreed milestone and cannot put it right within a reasonable period, you are entitled to a full refund of that milestone.
4. Retained and hourly services
Retainers run month to month unless the agreement says otherwise. Either side may end a retainer with 30 days' written notice. We invoice for hours worked in the final period; unused prepaid hours are refunded or, if you prefer, credited against future work.
5. What we do not refund
- Work that has been delivered and accepted.
- Third-party costs we have already paid on your behalf — domain registrations, licences, paid API usage, advertising spend and similar — since these are non-recoverable by us.
- Change of mind about a deliverable that matches the agreed specification. We would rather revise it under the agreed revision rounds than argue about it.
6. How to request a refund
Email info@techgeneses.com with the payment date, the amount, and the invoice or workspace name. You do not need a particular form of words.
- We acknowledge every request within 2 working days.
- We decide, and tell you the reason, within 7 working days.
- Approved refunds are issued within 7–10 working days to the original payment method. Card refunds may take a further 5–10 working days to appear, which is your bank's processing time, not ours.
Refunds are always returned to the method you paid with. We cannot send a card payment back to a different card or to a bank account.
7. Chargebacks
If something has gone wrong, please contact us before raising a chargeback with your bank — we can almost always resolve it faster directly, and a chargeback freezes the amount for both of us while it is investigated.
